Where dispatch loses the phone war
Freight brokerages, 3PLs, and carriers have more software than they've ever had, and the phone still runs the operation. A TMS holds the load and the rate. It does not ring when a carrier calls in asking what's available, and it does not pick up when a driver needs to report a blown tire on the shoulder of the interstate at two in the morning. That work still lands on a person, on a phone line, and there are only so many people to answer it.
The competitive cost shows up hardest during a tight capacity market. The calls themselves also come with real friction that email and EDI never have to deal with. Drivers call from a moving cab, wind and road noise behind them, a cell signal that drops out for a few seconds at a time. A meaningful share of the driver workforce speaks English as a second language, with accents a scripted phone tree handles badly and an experienced dispatcher navigates without thinking twice. And when something has actually gone wrong — a breakdown, a missed appointment, a refused delivery — the caller does not want to work through a menu of options. They want a person, or something that behaves like one, right away.
What the system handles on a normal day
The system sits on the phone number your carriers, drivers, and shippers already call, and answers every one of those calls the moment it rings — not just the ones your team can get to. Inbound carrier calls on available loads. A carrier calls asking what's moving on a lane, or whether a load they saw posted is still open. The system checks live load data, tells them what's available, what equipment it needs, and what the ask is, and captures their MC number and a callback number if they want to run the numbers further. When the ask fits inside the tolerances your team has set, it can confirm the load on the spot; when it doesn't, it takes everything down accurately and gets it in front of a dispatcher within minutes, not whenever someone next checks a voicemail box.
Check calls to drivers. Whether the system places the call or the driver calls in, it confirms who it's speaking to, pulls up the load it's asking about, and logs location, status, and ETA against that load — the same as a dispatcher would, without needing someone free at the exact moment the call needs to happen.
Shipper and customer status calls. A shipper calling to ask where their freight is gets an answer pulled from the live load status, not a promise to call back once someone finds the file. The system checks live load data for that origin and equipment type and finds two open loads that match — one already posted at a target rate, one still needing a rate confirmed. It reads her the lane, the pickup window, and the rate on the posted load, and asks if that works. She says yes and gives her MC number. The rate falls inside the tolerance your team has set for that lane, so the system confirms the load to her verbally, logs the tender against her MC number, and flags it for a dispatcher to send the written rate confirmation before the pickup window opens. She hangs up with a booked truck. The next three brokers on her list never hear from her, because there's no reason to keep calling once a load is confirmed.
A check call from a driver at highway speed
A driver calls in for a scheduled check call doing seventy on the interstate, road noise behind him, cell signal dipping in and out, English his second language. He gives a load number that gets cut off halfway through by the connection. The system asks him to repeat just the part it didn't catch, rather than restarting the whole exchange, and reads the load number back to confirm before moving on.
Once it has the right load, it asks for his current location and whether he's still tracking for the delivery appointment. He says he's about ninety minutes out, on schedule. The system logs the check call against the load — location, time, status, no exceptions — and thanks him. The whole call takes under a minute, and unlike a dispatcher who might be mid-conversation with someone else, it never puts him on hold or asks him to call back.
A 2am call when a load actually goes wrong
A driver's trailer blows a tire on the interstate at two in the morning, hours from the nearest service point, with a delivery appointment later that same day. He calls the dispatch line because that's the number on his paperwork. The system answers immediately, confirms his name and load number, and asks what's happened. He says he's blown a tire and needs a tow.
This is exactly the kind of call the system is built to recognize as urgent rather than route through a script. It doesn't try to walk him through troubleshooting or read him a list of options — it confirms his location, logs the situation against the load, and connects him straight to your on-call dispatcher, with a short summary of what it already gathered waiting on the line before the dispatcher even picks up. The driver isn't stuck repeating himself to a person who's starting from nothing, and he isn't stuck listening to hold music while a system decides what to do with him. Connecting to your TMS, phones, and dispatch team

Recording and consent. Where call recording is part of a build — for training, dispute handling, or quality review — the system states or plays whatever disclosure the caller's jurisdiction requires before recording starts. Recording rules differ by state, so this gets scoped to where your drivers and carriers actually are, not applied as a blanket default.
